Process improvement for logistics companies

Most logistics firms do not have a volume problem. They have an exception problem: the small share of shipments that eat most of the staff time.

Start with the exceptions

Pick last month's late or disputed shipments and trace ten of them from first scan to resolution. For each, note who found out, how, and how long after the fact. In most operations the answer is that the customer found out first. That single measurement, time from delay to customer informed, is usually the best starting number.

Four fixes we see pay back

  1. Define "late" in one place. Teams often carry three definitions: carrier ETA, customer promise date and internal cut-off. Agree one rule per service level, and write it down.
  2. Split the flow by cost to resolve. A one-day slip on a pallet is not a damaged high-value consignment. Routing both to the same queue wastes the experienced people. Give low-risk exceptions a standard response and reserve people for the rest.
  3. Capture proof of delivery at source. Drivers photograph the signed note in the app and the image attaches to the shipment record. Billing no longer waits for paper.
  4. Add an approval limit. A redelivery or credit under a set amount is approved by the agent. Above it, the manager gets a one-click request with the context. See the approval loop on the logistics map.

What to measure

  • Time from delay detected to customer informed.
  • Status-check calls and emails per 100 shipments.
  • Share of exceptions resolved by the first person who touches them.
  • Days from delivery to invoice sent.

Where automation fits

After the rules are agreed, process automation can flag late shipments, send the standard updates and escalate the rest. Do it in that order. The delay alerts case study shows the shape, and the workflow automation guide covers the build choices. If your dispatch system is an older desktop application with no API, RPA may be the only way in.

Common questions

How quickly can we see a change?

Rule clarification and routing changes can be live within a couple of weeks. Anything that needs system changes takes longer, and we give you the timeline before work begins.

Do you need our TMS data?

An export of shipment events for a month is enough to find the first problems. We agree what we see before we start.
