Process improvement for healthcare providers
A clinic can gain a lot of time without touching a clinical process. The gains sit in booking, intake and follow-up, which are administrative and easy to measure.
The three numbers to start with
- No-show and late-cancellation rate, by appointment type and day.
- Minutes of reception time per appointment across booking, reminders, check-in and follow-up.
- Share of intake forms complete before arrival.
Pull a month of data for each. If you cannot, sample two weeks by hand. You need a baseline before you change anything.
Changes that tend to help
- Send the intake form at booking, not at reminder time. Patients who get it three days ahead complete it more often than patients who get it the evening before.
- Make confirming and cancelling one tap. A reminder that asks a patient to phone the clinic to cancel produces silent no-shows.
- Keep a waitlist that fills gaps automatically. A freed slot is offered to the first matching patient, with a time limit to accept.
- Separate routine from complex bookings. Reception spends different amounts of time on each, and a single appointment length hides that.
The healthcare map shows how these loops fit together, including the nudge when a form is incomplete.
Cautions
Reminder messages contain information about a person's care. Keep them minimal, get consent for the channel, and check your regional rules on messaging and data storage. We design flows that carry as little patient information as possible. This is administrative guidance and not legal or clinical advice.
Next steps
Once the rules are agreed, automation handles reminders, waitlist offers and form chasing. See the private clinic case study, and the longer guide process improvement for healthcare.
Common questions
Do you handle patient data?
Where possible we work from de-identified samples and process flows. Where access is needed it is agreed in writing, limited to what the task requires, and handled under your own policies.
