Appointment reminders and waitlist for a private clinic

Appointment reminders and waitlist for a private clinic

The situation

A private clinic with six clinicians has a reception team that spends much of the morning phoning patients to confirm the next day's appointments. Many calls go unanswered. Patients who cannot attend often do not say so, and the slot is lost. New patients complete paper forms on arrival, and the first ten minutes of the appointment go on typing them in.

Before and after: phone reminders replaced by confirmation messages and a waitlist

What we would map first

  • A month of appointments by type, with outcome: attended, late cancellation, no-show.
  • Reception minutes per appointment across booking, reminders, check-in and follow-up, sampled over two weeks.
  • The routes by which patients cancel today, and how many of those reach reception in time to reuse the slot.

Our healthcare map shows a version of this flow with its intake loop and waitlist.

What we would change

  • Send a short reminder at a set interval before the visit with a one-tap confirm or cancel link. The message contains no clinical details.
  • Offer a cancelled slot to patients on a waitlist, matching appointment type and clinician, with a time limit to accept.
  • Send the intake form when the appointment is booked, and nudge automatically if it is incomplete the day before.
  • Route anything unusual, such as a patient who replies with a question, to reception with the message attached.

What stays manual

Booking complex or multi-part appointments, any conversation about symptoms or clinical matters, and decisions about patients who repeatedly miss appointments. Messages are sent only to patients who have agreed to that channel, and the clinic checks its regional rules on messaging and patient data before launch.

What we measure

No-show and late-cancellation rate by appointment type, share of cancelled slots refilled, reception minutes per appointment and share of intake forms complete on arrival.

Typical outcome targets

Fewer unused appointment slots, a lighter reception morning and shorter check-in. We set the figures with you after measuring your own baseline.
